Four people, one filing system and a legal duty to keep it private. Winter Springs is full of offices that are small enough to be overlooked and serious enough that being overlooked is the problem.
Too small to be interesting, too exposed to be careless
Around Tuskawilla Road, the Town Center and the professional suites tucked between Winter Springs' neighbourhoods sit therapy practices, dental and medical offices, insurance agents, bookkeepers, small law practices and family firms. Headcounts of three to fifteen. No IT contact, and often no intention of ever having one.
What they do have is other people's information: patient notes, financial records, case files. The obligations that come with that do not scale down with the size of the office, which is the awkward part. A four-person practice carries roughly the same duty of care as a forty-person one and none of the infrastructure to demonstrate it.
What that actually requires
- Multi-factor sign-in that is actually on. Enforced on the accounts we manage, not suggested in a policy document nobody opened.
- Devices patched and encrypted. Enrolled machines are kept current, and we can show you the state of each one rather than assuring you it is fine.
- Access that ends when employment does. A ticket on the day, not a tidy-up next quarter.
- A written record of what exists. Which machines, which accounts, who can reach what. Useful for your own peace of mind and for anyone who ever asks.
- Someone to call who knows your setup. A named person, not a rota.
Where we stop, said plainly
Backups are not a service we offer yet. For an office whose records are its liability, that is the most important sentence on this page, so it is not buried at the bottom. Until backups ship, the surviving copy of your data stays your responsibility, and we will tell you during the audit whether what you have now would survive a failure. Single sign-on inside your own applications and reporting in the portal also do not exist yet. The build status lists all of it.
Which plan a four-person office needs
Usually Watch, a flat $149 a month for up to ten devices, because it has no per-user minimum and an office this size does not need one. Manage, at $79 per user with a $395 monthly minimum, starts to make sense once everyone has their own login, email and the offboarding that goes with it. When you can reach someone
Tickets and alerts are taken 24 hours a day, seven days a week, and worked every day, weekends included. On-site visits run Monday to Friday between 3pm and 8pm Eastern, and at weekends by arrangement. A P1 (the office cannot work) gets a best-effort reply within two hours at any hour. That is a target reported on every month, not a staffed night shift.

There are only four of us. Are we too small for you?
No. Watch is a flat $149 a month for up to ten devices with no per-user minimum, which is the plan built for an office this size. The plans with monthly minimums are Manage and Operate, and a four-person office is not obliged to be on either.
We hold client records. Can you prove they are protected?
Partly, and it is worth being precise about which part. We can enforce multi-factor sign-in on the accounts we manage, keep enrolled devices patched and encrypted, and produce a current record of each machine's state. We do not offer backups yet, so the copy of your data that survives a disaster is still your responsibility. If you hold regulated data there is a HIPAA addendum, but read the build status before signing anything.
Do you ever actually come out here?
Yes. Winter Springs is in Seminole County, where we are based, so an on-site visit is ordinary rather than an expedition. Most work is still remote because most work genuinely is remote, and a visit is for the jobs that need someone standing next to the equipment.
