Terms of Service
Please read these Terms before using any SentinelGrid website, application or service. They cover everything we run: the site, the Client Portal, the Helpdesk, monitoring and status pages, remote support, SentinelVision and Managed IT. By using the Services you agree to them. If you disagree, do not use the Services.

1. Acceptance of Terms
By accessing, browsing, or using any SentinelGrid website, web application, tool, or service (collectively, the "Services"), you confirm that you have read, understood, and agree to be legally bound by these Terms of Service and our Privacy Policy, Acceptable Use Policy and Disclaimer, each incorporated by reference. These Terms form a binding agreement between you ("User," "you," or "your") and SentinelGrid, operated by Mason Collier, a sole proprietor based in the State of Florida ("SentinelGrid," "we," "us," or "our").
If you access the Services on behalf of a company or other legal entity (for example, as an employee of a Managed IT client using the Helpdesk or Client Portal) you represent that you have authority to bind that entity to these Terms, and "you" includes that entity.
Managed IT clients are additionally bound by the Managed IT Service Terms and any signed service agreement. Where a signed agreement conflicts with these Terms, the signed agreement controls for that client.
Your continued use of the Services after any modification to these Terms constitutes acceptance of the revised Terms.
2. Description of Services
SentinelGrid is a software company and managed IT provider. We build small, focused web applications and run infrastructure for our own operations and for our Managed IT clients. As of the date above, the Services include:
- sentinelgrid.us: this website, the blog, and the public contact and waitlist forms.
- Client Portal (portal.sentinelgrid.us): one sign-in for clients, contractors and staff: an app directory, a directory of people and companies we work with, and a window onto the support queue.
- Helpdesk (support.sentinelgrid.us): ticketing for Managed IT clients: a customer portal for raising and tracking tickets, a support console for our agents, and an email-to-ticket pipeline.
- Monitor & status pages (status.sentinelgrid.us): uptime checks, heartbeat dead-man's switches, incident tracking, a public status page for our own services and private per-client status pages.
- Fleet & remote support: device inventory and remote access for managed endpoints, built on self-hosted MeshCentral and reached over a private Tailscale network.
- Diagnostics drop box (dbg.sentinelgrid.us): a last-resort channel for a managed machine with no other way in: diagnostics up, fix scripts down.
- SentinelVision: on-premises computer-vision software that runs on hardware you own, detecting weapons, people and vehicles on camera feeds. It is deliberately built without facial recognition.
- Managed IT. The service itself: monitoring, patching, identity and access, network, and a helpdesk staffed by a human. Backups and single sign-on are on the roadmap and not part of the service yet. Currently in open beta. See the Managed IT Service Terms.
- Internal tooling: a shared HR mailbox, a CRM and admin console, a self-hosted asset CDN, and a daily operations checklist. These are ours; you will only touch them indirectly (for example, when you email us).
Not every Service is available to every user. The Helpdesk, Client Portal, Fleet tooling and private status pages are closed systems: there is no public sign-up, and access is granted only to people we or a client organisation have enrolled. Some Services are in beta and are labelled as such wherever they appear.
We may add, change, suspend or retire any Service at any time. Where a Service is part of a paid Managed IT engagement, the Managed IT Service Terms govern how we notify you and what happens to your data.
3. Service-Specific Terms
3.1 Helpdesk and Client Portal
Access is by one-time sign-in link sent to an email address that we, or your organisation, have authorised. You are responsible for the security of that mailbox. A sign-in link is personal to you: do not forward it. If your organisation provides a self-registration link or QR code, it is for that organisation's staff only.
Tickets, replies and attachments you submit are visible to SentinelGrid support staff and to the people your organisation has designated as its support contacts. Internal notes written by our agents are not shown to customers. An administrator at your organisation, or SentinelGrid, may disable your account at any time, which ends your sessions immediately.
3.2 Monitor and status pages
HTTP monitors fetch public URLs you have asked us to watch. Heartbeat monitors depend on your systems pinging a token URL we issue; anyone holding the token can mark the monitor healthy or failed, so treat it as a credential. Private status pages are protected by a token in the URL and are not indexed; anyone you share that URL with can see it. Status data is best-effort and is not a contractual record of uptime unless a signed agreement says otherwise.
3.3 Fleet, remote support and the diagnostics drop box
Remote-access agents are installed only on devices that you or your organisation have enrolled with us. By enrolling a device you confirm that you own it or are authorised to manage it, that its users have been told it is managed, and that we may connect to it, run commands, install software, and collect inventory and diagnostic data for the purpose of supporting it. Remote sessions are logged. We will not use remote access for any purpose other than providing the Service.
The diagnostics drop box accepts uploads from managed machines and serves fix scripts back. Do not upload material you are not entitled to share. Scripts served by the drop box are intended for the specific machine and problem they were written for.
3.4 SentinelVision
SentinelVision is software that runs on hardware you own and control. It is a detection aid, not a life-safety, security-certified or monitored-alarm system. It can miss events and it can raise false alerts; weapon detection in particular is probabilistic and sensitive to lighting, distance, angle and occlusion. You must not rely on it as a sole safeguard for safety decisions.
You are solely responsible for lawful deployment: camera placement, signage and notice to people who may be recorded, compliance with surveillance, wiretap and workplace-monitoring laws in your jurisdiction, and the retention and handling of any snapshots or clips the system stores on your hardware. SentinelVision does not perform facial recognition and must not be modified or combined with other tools to identify individuals biometrically.
3.5 All Services: general
- Services are built and maintained by a very small team. Bugs, downtime and mistakes will happen. Outside a signed Managed IT agreement, SentinelGrid provides no uptime guarantee.
- Beta Services are provided for evaluation. Features, pricing, availability and functionality may change at any time without advance notice.
- You are responsible for backing up data you keep in any Service unless a signed agreement makes that our responsibility.
- Services must not be used where failure could lead to death, personal injury, or severe environmental or property damage.
4. Eligibility
You must be at least 18 years old, or the age of majority where you live, to create an account, submit a form, or enter into a Managed IT engagement. Sixteen- and seventeen-year-olds may use the Services only under the supervision and with the consent of a parent, guardian or employer who accepts these Terms on their behalf. We do not knowingly provide Services to children under 13, except Rally, which students use in class under a teacher's direction and which has its own terms and children's privacy notice. VerifyBlox is for people 13 and older only.
5. Accounts & Access
We do not use passwords for client-facing Services; sign-in is by single-use emailed link, valid for a short period. You are responsible for everything done under your session and for keeping the mailbox that receives sign-in links secure. Tell us immediately at support@sentinelgrid.us if you believe your access has been misused.
Some internal Services use passwords or shared secrets. Staff and contractors must not share them, reuse them elsewhere, or store them outside the password manager we specify.
We may suspend or terminate access without notice if we reasonably believe an account has been compromised or is being used in breach of these Terms or the Acceptable Use Policy.
6. Acceptable Use
Use of the Services is governed by our Acceptable Use Policy, which is part of these Terms. In short: do not break the law, do not attack or probe our systems or those of our clients, do not use remote-access or monitoring tooling against people who have not consented to it, do not use SentinelVision to identify or track individuals, and do not send us abuse through the support channels. The Acceptable Use Policy has the full list and the enforcement process.
7. Intellectual Property
The Services, including their code, design, text, graphics, names and logos, are owned by SentinelGrid or its licensors and are protected by copyright, trademark and other laws. "SentinelGrid" and "SentinelVision" are our marks. Nothing in these Terms transfers ownership to you.
Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable licence to use the Services for their intended purpose. You may not copy, modify, reverse-engineer, scrape, resell or create derivative works from the Services except where a licence expressly permits it or the law overrides this restriction.
Some components are open source and carry their own licences (for example, MeshCentral, YOLO model families and the NCNN runtime). Those licences govern those components. Blog posts may be quoted with attribution and a link.
8. Your Content & Your Data
You keep ownership of the content and data you submit to the Services: tickets, attachments, form submissions, monitoring configuration, device inventory, and anything else. You grant us a licence to host, process, transmit, display and back up that content solely to provide and improve the Services, and you represent that you have the rights needed to grant that licence.
For Managed IT clients: documentation, credentials and configurations we produce for your environment are yours. We keep copies only as long as needed to deliver the Service and will hand them over on exit as described in the Managed IT Service Terms.
We may remove content that breaches these Terms or the law, and will tell you when we do unless we are legally prevented from doing so.
9. Privacy, Email & Analytics
Our Privacy Policy explains what we collect and why. Three things are worth knowing up front: this website uses Google Analytics; email sent to any @sentinelgrid.us address is stored in our systems and may be turned into a support ticket or read by the staff responsible for that mailbox; and transactional email (sign-in links, ticket updates, auto-replies, alerts) is sent through Brevo. 10. Third-Party Services & Links
The Services run on, and link to, services we do not control: Cloudflare, Brevo, Google, GitHub, Tailscale, Pushover and others listed on the Subprocessors & Security page. Their terms apply to their services. We are not responsible for the content, policies or availability of third-party sites linked from our Services.
11. Disclaimer of Warranties
EXCEPT AS EXPRESSLY SET OUT IN A SIGNED SERVICE AGREEMENT, THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICES WILL BE UNINTERRUPTED, ERROR-FREE OR SECURE, THAT DEFECTS WILL BE CORRECTED, THAT MONITORING WILL DETECT EVERY OUTAGE, THAT BACKUPS WILL BE RESTORABLE, OR THAT SENTINELVISION WILL DETECT ANY PARTICULAR OBJECT OR EVENT. 12. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY LAW, SENTINELGRID AND MASON COLLIER SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR FOR LOSS OF PROFITS, REVENUE, DATA, GOODWILL OR BUSINESS INTERRUPTION, ARISING OUT OF OR RELATING TO THE SERVICES, HOWEVER CAUSED AND UNDER ANY THEORY OF LIABILITY, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICES SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID US FOR THE SERVICE GIVING RISE TO THE CLAIM IN THE TWELVE (12) MONTHS BEFORE THE EVENT, OR (B) ONE HUNDRED U.S. DOLLARS (US$100). Some jurisdictions do not allow certain limitations; in those places our liability is limited to the maximum extent the law permits. Nothing in these Terms limits liability for fraud, wilful misconduct, or anything that cannot be limited by law.
13. Indemnification
You agree to defend, indemnify and hold harmless SentinelGrid and Mason Collier from any claims, damages, losses and expenses (including reasonable legal fees) arising from your use of the Services, your content, your breach of these Terms, your deployment of SentinelVision or remote-access tooling in a way that violates any law or the rights of any person, or your violation of any third party's rights.
14. Termination
You may stop using the Services at any time. Managed IT clients may end an engagement as described in the Managed IT Service Terms. We may suspend or terminate your access immediately if you breach these Terms, if required by law, or if continuing to provide a Service becomes impractical. On termination your licence ends; sections that by their nature should survive (intellectual property, disclaimers, limitation of liability, indemnification, governing law) survive.
Where we end a Service that holds your data, we will give reasonable notice where we can and provide an export or hand-over in a usable format before deleting it.
15. Governing Law & Disputes
These Terms are governed by the laws of the State of Florida and applicable federal law, without regard to conflict-of-law rules. Any legal action arising out of or relating to these Terms or the Services shall be brought exclusively in the state or federal courts located in Seminole County, Florida, and you consent to personal jurisdiction and venue there.
Before filing a claim, you agree to contact us at support@sentinelgrid.us and make a good-faith attempt to resolve the dispute informally for at least thirty (30) days. Either party may bring an eligible claim in small-claims court, and either party may seek injunctive relief at any time to protect intellectual property or confidential information. To the extent permitted by law, each party waives any right to a jury trial and to participate in a class or representative action, and any claim must be brought within one (1) year after it arises. If you are a consumer in a jurisdiction whose law gives you mandatory protections, including the EU and UK, you keep them and may bring claims in your local courts.
16. Changes to Terms
We may update these Terms. The "Last Updated" date and version number at the top change when we do, and material changes are announced on the blog or by email to affected clients at least 14 days before they take effect (30 days for Managed IT clients, under the Service Terms). Continued use after the effective date of a change means you accept it. If you do not accept a change, stop using the Services; Managed IT clients may exit under the service terms without penalty.
17. Independent Contractors
SentinelGrid engages independent contractors for development, design, support and operations work. Each signs our Independent Contractor Agreement (sent to them personally), which controls over this section where they differ. In summary, if you contract with us:
- Relationship. You are an independent contractor, not an employee, partner or agent. You control how and when you do the work, subject to agreed deliverables and deadlines.
- Compensation. Paid per the written engagement (project, milestone or hourly). You are responsible for your own taxes, insurance and benefits; we will issue a Form 1099 where required.
- Access. Any access we grant to internal Services, client environments or credentials is for the engagement only, must not be shared, and ends when the engagement does. Remote-access and monitoring tooling may be used only on systems the engagement covers.
- Intellectual property & confidentiality. Work product created for SentinelGrid or a client is work made for hire, or is assigned to SentinelGrid on creation. Client data, credentials, vulnerabilities and unreleased work are confidential indefinitely.
- Duration. Engagements are at-will unless the written engagement says otherwise; either side may end one on written notice.
- Minors. Contractors under 18 require written parental or guardian consent and are never given access to client environments.
18. Copyright Complaints
If you believe material on a SentinelGrid site or service infringes your copyright, send a notice to support@sentinelgrid.us with "DMCA" in the subject, containing: identification of the work; the URL of the material; your contact details; a statement that you have a good-faith belief the use is not authorised; a statement, under penalty of perjury, that the notice is accurate and that you are authorised to act; and your physical or electronic signature. We will remove or disable access to the material promptly, notify the person who posted it, and accept counter-notices under 17 U.S.C. § 512(g). We terminate repeat infringers.
19. Electronic Communications & Signatures
You agree to receive notices from us electronically (by email, in the Client Portal or Helpdesk, or on the website) and that electronic notices satisfy any requirement that a communication be in writing. Agreements signed through the Client Portal, or by typing or drawing a signature on one of our PDF templates, are binding electronic signatures under the federal ESIGN Act (15 U.S.C. § 7001) and Florida's Uniform Electronic Transaction Act (§ 668.50, Fla. Stat.); the Portal records the signer's name, email, signature, IP address and timestamp as evidence.
20. General Provisions
- Entire agreement. These Terms, the policies they incorporate, and any signed agreement are the whole agreement between you and us and replace earlier terms.
- Severability. If a provision is unenforceable, the rest remains in force and the provision is enforced to the fullest extent the law allows.
- Waiver. Not enforcing a provision is not a waiver of it.
- Assignment. You may not transfer these Terms without our written consent. We may assign them to a successor of the business and will tell you if we do.
- Force majeure. Neither party is liable for delay or failure caused by events outside its reasonable control (hurricanes, power or upstream provider outages, government action) provided it tells the other promptly and does what it reasonably can.
- Export controls & sanctions. You may not use the Services in breach of U.S. export-control or sanctions laws, and you confirm you are not on any U.S. sanctions list.
- No third-party beneficiaries. Except as stated for Mason Collier and our contractors, no one else has rights under these Terms.
- Language. These Terms are written in English; translations are for convenience only.
